This privacy notice provides you with details of how we collect and process your personal data through your use of our site www.SchoolofMetaphysics.com and our private course training site. This includes information you are required to give us as part of the application process and information we generate about you as part of that process.

 

By providing us with your data, you warrant to us that you are over 13 years of age.

  

The School of Metaphysics and associates,  are the data controller and we are responsible for your personal data (referred to as “we”, “us” or “our” in this privacy notice).

• Communication Data that includes any communication that you send to us whether that be through the contact form on our website, through email, text, social media messaging, social media posting, in course activities or any other communication that you send us. We process this data for the purposes of communicating with you, for record keeping and for the establishment, pursuance or defence of legal claims. Our lawful ground for this processing is our legitimate interests which in this case are to reply to communications sent to us, to keep records and to establish, pursue or defend legal claims.

 

• Customer Data that includes data relating to any purchases of goods and/or services such as your name, title, billing address, delivery address email address, phone number, contact details, purchase details and your card details. We process this data to supply the goods and/or services you have purchased and to keep records of such transactions. Our lawful ground for this processing is the performance of a contract between you and us and/or taking steps at your request to enter into such a contract.

 

• User Data that includes data about how you use our website and any online services together with any data that you post for publication on our website or through other online services. We process this data to operate our website and ensure relevant content is provided to you, to ensure the security of our website, to maintain back- ups of our website and/or databases and to enable publication and administration of our website, other online services and business. Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer our website and our business.

 

• Technical Data that includes data about your use of our website and online services such as your IP address, your login data, details about your browser, length of visit to pages on our website, page views and navigation paths, details about the number of times you use our website, time zone settings and other technology on the devices you use to access our website. The source of this data is from our analytics tracking system. We process this data to analyse your use of our website and other online services, to administer and protect our business and website, to deliver relevant website content and advertisements to you and to understand the effectiveness of our advertising.  Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer our website and our business and to grow our business and to decide our marketing strategy.

 

• Marketing Data that includes data about your preferences in receiving marketing from us and our third parties and your communication preferences. . We process this data to  enable you to partake in our promotions, to deliver, training, relevant website content and advertisements to you and measure or understand the effectiveness of this advertising.  Our lawful ground for this processing is our legitimate interests which in this case are to study how our customers use our products/services, to develop them, to grow our business and to decide our marketing strategy.

 

• We may use Customer Data, User Data, Technical Data and Marketing Data to deliver relevant website content and advertisements to you (including Facebook adverts or other display advertisements) and to measure or understand the effectiveness of the advertising we serve you. Our lawful ground for this processing is legitimate interests which is to grow our business. We may also use such data to send other marketing communications to you. Our lawful ground for this processing is either consent or legitimate interests (namely to grow our business).

 

3.  HOW WE COLLECT YOUR PERSONAL DATA

 

We may collect data about you by you providing the data directly to us (for example by filling in forms on our site or by sending us emails). We may receive data from third parties such as analytics providers such as Google based outside the UK and/or the EU, advertising networks such as Facebook based outside the UK and/or the EU, such as search information providers such as Google based outside the UK and/or the EU, providers of technical, payment and delivery services, such as data brokers or aggregators.

 

We may also receive data from publicly availably sources such as Companies House and the Electoral Register based inside or outside the UK and/or the EU.

• Enrol on to any one of our courses e.g. Foundation, Practitioner, Teacher Training etc.
• Register & take part in counselling or mentoring sessions (paid or voluntary)

What personal information we collect

The School of Metaphysics may collect the following types of information:

• Personal Information such as full name, date of birth, contact information such as home address, telephone numbers, email addresses, message
• If you register for counselling/mentoring services then at that stage we would require further information which is necessary for your treatment.
• Emergency contacts and details of medical history   
• A log of our communications with you in writing, by email and by telephone.
• If you purchase a course or service, the information that you share in class plus financial information such as payment details
• Digital personal information such as your social media username (if you interact with us through our corporate website which enables us to respond to your comments, questions or feedback), technical information about your internet connection / browser type as well as the country and telephone code
  
   

Sensitive Data

We may need to collect the following sensitive data about you in order to deliver the counselling or training courses you purchase or volunteer for.

 

We require your explicit consent for processing sensitive data, so when you submit your details, we will send you a further communication asking for you to confirm your consent to this processing.

 

Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract (for example, to deliver the services to you). If you don’t provide us with the requested data, we may have to cancel a product or service you have ordered but if we do, we will notify you at the time.

In case we need to use your details for an unrelated new purpose we will let you know and explain the legal grounds for processing.

 

We may process your personal data without your knowledge or consent where this is required or permitted by law.

Our lawful ground of processing your personal data to send you marketing communications is either your consent or our legitimate interests (namely to grow our business).

• Other companies in our group who provide services to us e.g. Metaphysical Society for the Expansion of Consciousness
• Service providers who provide IT and system administration services.

• Professional advisers including lawyers, bankers, auditors, insurers, teachers, examiners and supervisors.

• Government bodies that require us to report processing activities.

• Third parties to whom we sell, transfer, or merge parts of our business or our assets.

We require all third parties to whom we transfer your data to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions.

Where you are within the United Kingdom:

 

We share your personal data within our group of companies which involves transferring your data outside the UK.

 

We are subject to the provisions of the UK General Data Protection Regulations that protect your personal data. Where we transfer your data to third parties outside of the UK, we will ensure that certain safeguards are in place to ensure a similar degree of security for your personal data. As such:

 

• We may transfer your personal data to countries that the relevant regulatory authorities in the United Kingdom have approved as providing an adequate level of protection for personal data by; or
• If we use US-based providers that are part of a UK regulator approved privacy framework, we may transfer data to them, as they have equivalent safeguards in place; or

• Where we use certain service providers who are established outside of the UK, we may use specific contracts or codes of conduct or certification mechanisms approved by the United Kingdom regulators which give personal data the same protection it has in the UK.

If none of the above safeguards is available, we may request your explicit consent to the specific transfer. You will have the right to withdraw this consent at any time.

7.  DATA SECURITY  

 

We have put in place security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We also allow access to your personal data only to those employees, associates and partners who have a business need to know for such data. They will only process your personal data on our instructions and they must keep it confidential.

 

We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach if we are legally required to.

 

 

8.  DATA RETENTION  

  

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
 

When deciding what the correct time is to keep the data for we look at its amount, nature and sensitivity, potential risk of harm from unauthorised use or disclosure, the processing purposes, if these can be achieved by other means and legal requirements.

 

Where you have provided personal information for us to provide training or a service to you, we will hold onto the personal information for a limited period to meet our legal and regulatory requirements.

 

For tax purposes the law requires us to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers.

GDPR Statement: The personal data we collect about you will include data relating to your name and address, and the information we discuss in your sessions and training. As with any reputable therapist or organisation, we are required by our insurers to store client records for a minimum of seven years. This data will be securely stored and will only be used by ourselves for communication with you and as a record of our work together. Your information will only be shared under the circumstances detailed in the confidentiality clauses detailed in the MSEC Referral Code of Practice below and client contract you agreed to.
 

Once it is no longer necessary for us to hold your personal information it will be deleted or completely anonymised.  An example of this would be to anonymise data so that it is no longer personally identifiable and to use it for purely statistical analysis.

  

In some circumstances we may anonymise your personal data for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

 

9.  YOUR LEGAL RIGHTS  

 

Under data protection laws you have rights in relation to your personal data that include the right to request access, correction, erasure, restriction, transfer, to object to processing, to portability of data and (where the lawful ground of processing is consent) to withdraw consent.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive or refuse to comply with your request in these circumstances.

  

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

  

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you.

 

If you are within the UK and are not happy with any aspect of how we collect and use your data, you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk).

REFERRAL CODE OF PRACTICE
Important Information for Clients Attending Metaphysical Counselling Sessions

This code of practice follows standard therapeutic procedure for both clients and practitioners within the field of professional counselling and practice. Its purpose is to ensure client well-being at all times.
As a Metaphysical Counsellor, Practitioner, Teacher, Trainer  or Student in training, we have undergone extensive training in a wide range of metaphysical and psychologically-based methods of treatment.
These therapeutic techniques have proved very successful in assisting clients with many diverse, emotional and physical conditions, as well as helping them make major transformations in their relationships, finances and personal and professional lives.

We work within the professional guidelines of our training and member organisation. To ensure that we are kept updated on the latest methods of treatment we are required to attend both supervision and continued professional development (CPD)

Your sessions with us are entirely confidential. Another requirement of supervision is that our work is regularly reviewed. To ensure that your privacy is respected, any case histories discussed at Supervision will be covered anonymously and no details of your name or address will be disclosed.

However, should we consider at any time, that you were in danger of harming yourself or another, we have a duty of care to report that to our supervisor /relevant authorities who will advise us on the best course of action. We will always discuss this with you before going ahead. Under these circumstances or if any emergency situation should arise whilst you are with us, it may be necessary to provide your name and details to whichever authority may require them.

As responsible practitioners, the emotional and mental well-being of our clients is paramount and there are times when a client may require additional methods of treatment in conjunction with, or in place of a metaphysical approach. These treatments may include other complementary therapies, as well as those that come under the heading of medical treatment.

Metaphysical counselling does not take the place of medical treatment although in most cases it works extremely well alongside it. There are a
growing number of physicians who include Metaphysical approaches in their practice. However as a Metaphysical Practitioner we are not trained in medicine, psychotherapy or psychiatric conditions.

Therefore, in order to comply with the requirements and conditions of a professional practice, on the rare occasion that a client’s condition causes us undue concern and we consider it to go beyond the boundaries of our training, after checking with our supervisor, it may be necessary for us to recommend that clients check in with their doctor for further support and diagnosis.

For clients already being treated by their doctor or health practitioner, it is important to let your doctor or other health practitioner know that you are attending counselling sessions. If you are currently taking medication, you should not stop that medication without medical supervision.

ETHICAL STANDARDS FOR METAPHYSICAL PRACTITIONERS
Code of Conduct

 

 

1. Practitioners are required to treat their clients with compassion and respect, creating a safe environment that encourages trust and open communication.

 

2. Practitioners are required to make available training certificates and diplomas to any client who wishes to inspect them.

 

3. Practitioners are required at all times to act in a professional manner with their clients and will not misuse their position of trust.

 

4. Practitioners are required at all times to respect the confidentiality of their clients as a sacred trust.  In any supervisory capacity the client’s name will not be used.

 

5. Metaphysical Practitioners do not claim to be Psychologists or Psychotherapists.  They work with Spiritual Principles that do sometimes include psychological techniques, which are an aspect of Metaphysical teachings.  Metaphysical Practitioners encourage clients to utilise these principles, so they may be led to a place of self-empowerment.

 

6. The Practitioner will not claim to personally cure or heal anyone.  Any beneficial effect that takes place is entirely due to the self-healing power within the individual.

 

7. Practitioners will not interfere with any medical treatment the client is undergoing and will work alongside any orthodox form of treatment the client is already receiving.  Practitioners will never advise anyone to discontinue prescribed medication.  Clients must always consult their medical doctor for advice in this matter.

 

8. Practitioners will only take cases that they feel are within their capacity to treat and which they genuinely believe can benefit from Metaphysical practice.

 

9. Practitioners are required to make available insurance certificates to any client who wishes to inspect them. 

 

10. The MSEC Practitioner Diploma is not proof of an insured Practitioner.  In order to practice as a Metaphysical Practitioner, up to date insurance cover & CPD is imperative. Proof of current insurance & CPD will need to be produced for acceptance on both the MSEC and BRCP Member registers.
